<strong>Job Overview<br><br></strong>We are seeking a detail-oriented Medical Records Specialist to become an integral part of our dynamic team. This position is primarily remote, with an expectation for occasional on-site visits to our Scarborough Clinic, approximately 1-3 times per week, to fulfill essential operational requirements.<br><br><strong>Key Responsibilities<br><br></strong><ul><li>Accurately scan and import patient documents into the electronic medical records (EMR) system, ensuring precise document identification and placement.</li><li>Submit files for physician review and upload necessary documents to the designated folders for signatures.</li><li>Process incoming faxes, ensuring correct uploads into the EMR and promptly notifying departments of any misdirected faxes.</li><li>Retrieve and scan archived paper charts as requested by intake staff or healthcare providers.</li><li>Fulfill chart/document requests for legal purposes while strictly adhering to patient consent and confidentiality protocols.</li><li>Efficiently manage and complete tasks within the EMR system, ensuring all timelines are met for requests.</li><li>Handle record requests from external offices, maintaining professional communication and expeditious responses.</li><li>Process third-party record requests via various methods, including fax and flash drive, while managing associated invoices.</li><li>Respond to voicemails and emails promptly, displaying professionalism in all communications.</li><li>Assist with reporting and completing "Close the loop" note tasks as necessary.</li><li>Execute PowerShare requests for imaging and support audits such as RadV, Risk Adjustment, and HEDIS as needed.</li><li>Stay informed about team coverage through Qgenda.</li><li>Uphold HIPAA protocols and ensure current HIPAA training is maintained.</li><li>Provide assistance during external audits and support the Compliance Manager as required.<br><br></li></ul><strong>Required Skills<br><br></strong><ul><li>Proficiency in Microsoft Word and Excel.</li><li>Strong understanding of medical terminology.</li><li>Comprehensive knowledge of legal and ethical considerations pertaining to patient information, including HIPAA compliance.</li><li>Ability to organize and manage large volumes of information effectively.</li><li>Competence in medical records software and fax servers.</li><li>Exceptional attention to detail and accuracy in analyzing medical records.</li><li>Strong time management and organizational skills.</li><li>Excellent communication abilities, both independently and within a collaborative team.<br><br></li></ul><strong>Qualifications<br><br></strong><ul><li>High School Diploma or equivalent is required; an Associate degree is preferred.</li><li>Previous experience in a medical records department is advantageous, especially with electronic medical record systems.<br><br></li></ul><strong>Career Growth Opportunities<br><br></strong>Join us for a unique opportunity to enhance your professional skills in a vital area of healthcare.
